Five everyday workflows your business can automate

The best first automation is often an ordinary task your team repeats every day. It has a clear trigger, a predictable next step and someone who can check the result. Start there before attempting to automate an entire business process.

1. Turn a website enquiry into a follow-up task

A visitor submits a form. The enquiry is saved, the relevant team receives a notification and a follow-up task is created in your CRM. Define the required fields and the person responsible for responding.

Use a unique enquiry reference to prevent accidental duplicates. Keep the original submission even when email or CRM delivery fails, so the team can recover the lead.

2. Route enquiries to the right person

A service choice, location or project type can help route an enquiry. Begin with simple rules your team understands. If an enquiry does not match a rule, send it to a shared review queue rather than dropping it.

You may not need AI for routing. Fixed categories and clear form fields are often easier to maintain. Consider AI only when the information is unstructured and a human review step is practical.

3. Support appointment follow-ups

Connect a booking event to an internal task or a reminder where your booking tool supports it. Respect the communication preferences recorded for the customer, and give your team a way to correct the appointment details.

Test reschedules and cancellations. A workflow that handles a new booking but ignores changes can create confusion for both the customer and your team.

4. Prepare a first draft for your team

AI can help prepare an internal summary or a suggested response using the details a customer provided. Keep the original message beside the draft and ask a person to review it before sending.

Do not let a draft invent prices, scope or delivery dates. Use approved information and make uncertainty visible to the reviewer.

5. Bring routine reporting into one place

Collect a few useful figures from your existing tools: enquiries received, follow-ups pending and tasks completed. Give each metric a clear definition so the report helps the team act.

A short, dependable report is more useful than an elaborate dashboard no one maintains. Assign someone to check it when connected tools change.

Choose your first workflow

List the task, its trigger, the tools involved, the person responsible and what should happen when something fails. Estimate the time spent on it today, then compare that with the effort and ongoing cost of automation.

Start small and run the workflow alongside your existing process until you trust it. Shivah Web Tech can help map the integration and build the workflow. Tell us which repetitive task you want to simplify.
